Agentic Operations

Back-office work that gets checked, not just done.

Agents that read your documents, check every total and rule, route approvals and update your systems. What they can prove, they clear. What they can’t, a named person decides.

Why back offices stall

The work is routine. The risk is not.

Someone has to read the invoice, compare it to the PO, chase the expiring licence and key it into the ERP. It is slow, it is repetitive, and one missed mismatch costs real money.

  • Documents pile up. Invoices, trade documents, certificates and forms arrive by email, WhatsApp and paper, and wait for someone to open them.

  • The same data is typed twice. Figures are copied from a PDF into a spreadsheet, then into the ERP. Every copy is a chance for an error.

  • Approvals sit in inboxes. A request waits for a manager who has not seen it. Nobody knows who it is stuck with.

  • Pilots that guess are not trusted. An assistant that is right most of the time cannot be left to approve money. Finance and Risk are right to say no.

Operations agents

Six agents for the work that fills the day.

Each one names what it checks, where it works and where a person signs off. Start with one and add the next when the first has earned trust.

Document checker

Invoices and trade documents, checked line by line.

Reads invoices, packing lists, bills of lading and insurance certificates, then runs arithmetic and named rules over them. It approves only what it can prove.

  • Totals, quantities and dates re-calculated, not trusted from the scan
  • Cross-checked against the PO, the LC or your master record
  • Pages sorted and OCR text verified without a model
  • Failures go to a reviewer with the evidence attached

Where a person approves. A reviewer clears every exception. The agent never approves on a model’s confidence.

Approvals agent

Vendor access, POs and leave, routed to the right person.

Takes a request, matches it against your records and policy, and either approves what the rules allow or puts it in front of the right approver with everything they need.

  • Deterministic matching first: exact names, IDs and policy limits
  • Only on a miss does a model run, and only to choose from a shortlist
  • Reminders to approvers by email, Teams or WhatsApp
  • A full trail of who asked, who approved and why

Where a person approves. The named approver signs off anything outside policy or without a clean match.

Compliance tracker

Certificates, licences and expiries, chased before they lapse.

Keeps a register of every certificate, licence and insurance policy, reads new ones as they arrive, and chases the supplier or tenant by email or WhatsApp until it is renewed.

  • Reads certificates and checks dates, names and cover amounts
  • Reminders on a schedule, in Bangla or English
  • Escalates to a named owner when a chase goes unanswered
  • A live view of what is valid, expiring and overdue

Where a person approves. A compliance officer decides on any certificate that fails a check or is disputed.

Back-office reconciler

Collect it, check it, export it to the ERP.

Gathers figures from branches, tenants or suppliers, validates them against rules and last period, and exports clean files in the format your system expects.

  • Collects by email, web form or spreadsheet upload
  • Flags figures that break a rule or jump out of range
  • Exports to SAP, Oracle, Tally, Yardi and similar systems
  • Keeps a record of every change before it is sent

Where a person approves. A finance or operations lead approves the batch before it is exported.

New starters ready on day one, with nothing forgotten.

  • Creates accounts and access requests from the role
  • Orders equipment and tracks delivery
  • Reminds each owner by Teams, email or WhatsApp
  • One view of who is ready and who is blocked

Where a person approves. The line manager and IT approve access beyond the standard role template.

Contract manager

Every clause, renewal and obligation, in one place.

  • Extracts parties, terms, notice periods and payment dates
  • Alerts owners before each renewal or break date
  • Tracks obligations on both sides against what actually happened
  • Search across every contract by clause or counterparty

Where a person approves. The contract owner and Legal confirm every extracted term before it goes on the register.

FAQ

Questions buyers ask

Something else? Ask an architect

Will the agent approve things on its own?
Only what it can prove. Arithmetic, lookups and named rules decide first, and the agent approves automatically only when every check passes. A model’s confidence score never approves anything. Everything else goes to a named person with the evidence attached.
Where does the language model come in?
Only where judgment is needed, and often only to pick from a shortlist. In vendor-access approval, for example, matching runs first; the model is used only on a miss, and it can only choose among real candidates. It can rescue a wrong rejection, but it cannot create a false approval.
Do we have to replace our ERP or accounting system?
No. The agent reads and writes the systems you already run — SAP, Oracle, Tally, Yardi, databases, spreadsheets, Microsoft 365 and Google Workspace — using each user’s own permissions. Exports go into your system, in your format.
Can we see why the agent decided something?
Yes. Each decision is logged with the checks that ran, the evidence behind them, and who cleared any exception. Auditors and managers see the same record.
Can the data stay in Bangladesh?
Yes. Agents, databases, memory, files and backups can run in Dhaka on Pico Public Cloud’s Tier-III data centre, or on-premises or in your own cloud. Outside model services stay off unless your policy allows them.
How do we start?
Pick one process — invoices, vendor access, certificates. We usually have a working prototype on your own documents in the first week and a supervised pilot alongside your team within three weeks, depending on the process and systems involved.
What happens when our rules change?
Rules are named, written down and changed through an approval step, not buried in a prompt. A rule change is a reviewed edit with a date and an owner.

We’ll show you it running.
